Guest recognition in luxury hotels, and what Nown Control changes
Guest recognition in luxury hotels is how a team shows guests it knows them. It covers the room they sleep best in, and the allergy they shouldn't have to mention twice. At its best it is careful, skilled work, and it reaches the guests a team has time to prepare for. Nown Control gives each department a short brief before every arrival, so that care can reach all of them.
What guest recognition looks like in practice
The hotel runs good software. Each guest has one profile, shared across the group, and a team at head office keeps it up to date.
Elena's profile shows nine stays and a preference for a deluxe king. It does not show that she is coeliac. She mentions it to a waiter over breakfast on her ninth stay, and it has never been part of a booking.
The waiter asks whether she would like the hotel to remember it. She says yes, and with Nown Control he adds it to her profile on his way back to the kitchen. Before her next stay, the teams that need it see it in their brief.
In March she is back. A different waiter is on. The bread arrives gluten-free before she asks.
With a Nown Pass, Elena can share it herself, and a hotel in Rome that uses Nown can know before her first breakfast there.
How luxury hotels recognise guests today
In many five-star hotels, recognition has its own team, often led by a guest recognition manager. The team's day starts with the next day's arrivals. It checks returning guests' profiles, contacts guests a few days before they arrive and attends departmental line-ups.
Forbes Travel Guide, whose anonymous inspectors stay at least two nights and assess up to 900 criteria, puts the emphasis on service (Forbes Travel Guide). Amanda Frasier is its president of standards and ratings. She describes effortless service as staff "thinking before the guest has to think what the next step could be" (Journal des Palaces).
This work takes time. A team can read only so many profiles before the line-up, so the fullest preparation tends to go to VIPs and regular guests. What staff learn during a stay also has to find its way back into the profile. That might be a remark at breakfast, or a request to the night porter.
Why guest recognition matters
- Most affluent American travellers say they will not pay for generic luxury. In 2025, The Harris Poll surveyed more than 500 affluent American travellers for Preferred Hotels & Resorts. Nearly three quarters said they will not pay for luxury accommodation that feels generic (Hospitality Net).
- Hospitality teams change often. In August 2026, the US quits rate in accommodation and food services was 3.5%, against 1.9% across all nonfarm industries (US Bureau of Labor Statistics). A written brief gives a colleague who joined last week the same starting point as one who has been there for years.
What guest recognition needs to work every day
Whatever system a hotel uses, recognition holds up when four things are in place:
- A quick way to record what staff hear. What a guest mentions at breakfast should reach their profile the same day, with their agreement for anything sensitive, such as an allergy.
- A brief for each department. The kitchen needs the allergy and the concierge needs the occasion, so each team reads what matters to its own work.
- A source and a date on every detail. A note that says who mentioned it and when carries more weight, and tells the next person when to check it again.
- A brief read at the start of the shift. Recognition works when the team has the detail by the time the guest reaches the desk.
What changes for each team
With Nown Control, each department starts the day with a short brief on the guests it will look after.
| Team | What it knows before the guest arrives | What it can do |
|---|---|---|
| Front office | The guest's preferred name, and that they moved rooms last time because of street noise | Greet them by name and give them a quiet room from the start |
| Housekeeping | A feather allergy, and a late arrival after a long flight | Make up the room with feather-free bedding and leave the curtains drawn |
| Restaurant and kitchen | A shellfish allergy, and that the guest likes a corner table | Brief the chef before the first dinner and hold the table |
| Concierge | A tenth anniversary on Saturday, and a restaurant the couple disliked last year | Suggest a table that suits them, and leave that restaurant off the list |
A recognition team keeps its role, and its work now reaches each department as the shift begins. For a first stay, the brief starts from what the guest shared when booking, which is why the questions a hotel asks before arrival matter.
Where Nown Control fits
Nown Control is software for luxury and upper-upscale hotels, from independent properties to international brands. It turns what the hotel already knows, and what its teams notice, into a short brief for each department.
The hotel keeps its property management system as the system of record, and its other tools stay in place. Nown Control is designed to save staff time, and Nown trains each department and supports the hotel throughout. People still deliver the service, and the brief means they know what matters before they meet the guest.
A Nown Pass lets guests share their preferences once, in their own words, and be recognised at other hotels using Nown. They decide what it shares. Hotels do not need guests to have a Pass to use Nown Control.
The details in a brief can be personal, such as an allergy. Hotels keep control of their own records, and Nown does not sell guest data. Nown is GDPR compliant, and all personal data is stored within the EU.

Frequently asked questions
What is guest recognition in a hotel?
Guest recognition is the practice of knowing guests and preparing for them, including their name, preferences, past stays and any occasion. In many luxury hotels, a guest recognition team reads the arrivals in advance and briefs each department.
What does a guest recognition manager do?
A guest recognition manager makes sure the hotel is ready for each guest. The role usually involves reading the next day's arrivals, keeping profiles up to date, contacting guests ahead of their stay and attending departmental line-ups.
What is the difference between guest recognition and a loyalty programme?
A loyalty programme rewards stays with points and member benefits. Guest recognition is about the individual guest, and applies whether or not they belong to a programme.
What is Nown Control?
Nown Control is software for luxury and upper-upscale hotels, made by Nown, the memory layer of hospitality. Before a guest arrives, each team sees what it needs to know about them, and staff can log what they notice for the next visit. Nown SAS is based in Paris.
Does Nown Control replace the property management system?
No. Nown Control works alongside the property management system, which remains the hotel's system of record.
